Useful AI for business

We don’t put AI everywhere. Anything that follows a rule is simply automated. AI comes in where something needs reading and comparing: a logistics number in a PDF, an email against the CRM record, a mismatch to flag. A person keeps the decision.

What we do

  • Document checks

Read container or tracking numbers, amounts and dates in your PDFs, and compare them with your data.

  • Email and CRM reconciliation

Check that an email thread matches the client or order record, and flag anything that differs.

  • Data extraction

Read invoices, contracts or delivery notes and carry the useful information over into your tools.

  • Draft replies

Replies prepared from your own documents. A person reviews and sends them.

  • Video translation

Your videos in other languages, in the original voice with synchronised lips.

  • Transcription

Meetings, interviews and videos transcribed, with speakers identified.

AI to read, compare and flag. Not to decide.

In a small business, a lot of time goes into checking: making sure a container number in a PDF matches the order, that a customer's email says the same as the CRM record, that a supplier invoice carries the agreed price. That is where AI is useful.

We don't put AI everywhere. Anything that follows a rule (recording an order, sending a reminder, filing a document) is automated simply: it's more reliable and cheaper. AI only comes in where free text needs reading, two sources need comparing or something needs summarising, and it works inside your current tools: Outlook, Bexio, Airtable, your CRM.

Every time, a person keeps the decision. AI prepares, checks and flags discrepancies; you approve. We work with businesses in Lausanne, Vaud, Geneva and across French-speaking Switzerland, with particular care for data confidentiality.

Checking logistics documents

Bill of lading, CMR consignment note, packing list, certificate of origin: every shipment produces a pile of documents, often scanned, sometimes in several languages. A wrong container number or weight can hold goods up at customs.

AI reads each incoming document, extracts the key information and compares it with the shipment record in your CRM or Airtable base. What matches is ticked; what differs is flagged, with the value found and the value expected.

  • Container, seal, wagon or tracking numbers
  • Gross and net weight, quantities, number of packages
  • Loading dates, ports, Incoterms
  • Shipper and consignee names
  • Scanned or photographed documents, in several languages

Matching emails with your CRM

A customer confirms an order by email, then changes the delivery date three messages later. The CRM was never updated. This kind of mismatch is usually discovered too late.

AI reads the email thread, compares it with the order record and flags anything that no longer matches: date, quantity, address, agreed price. It can suggest a CRM update; a person accepts it or not.

  • Changes of date, quantity or price announced by email
  • Delivery address different from the one in the CRM
  • Payment terms negotiated along the way
  • Suggested update, approved by a person

Extracting invoices and delivery notes

Supplier invoices never share the same layout. Copying supplier, number, amount, VAT and due date into Bexio or Excel takes a few minutes per document, and hours each month.

AI reads each invoice or delivery note, whatever its format, and prepares the entry in your tool. Fields it isn't sure about are marked, and nothing is posted without a review.

  • Supplier, number, date, net amount, VAT, due date
  • Line items: articles, quantities, unit prices
  • Comparison with the purchase order or agreed price
  • Entry prepared in Bexio, Airtable or Excel

Draft replies

The same questions keep coming back: lead times, availability, terms, order status. Answering takes time, especially when the information has to be looked up in the CRM or a PDF.

AI prepares a draft from your documents and the customer record, in your tone and in the customer's language. It appears in Outlook or Gmail; a person reads it, edits it if needed and sends it.

  • Answers to frequent questions, based on your own texts
  • Order status pulled from the CRM
  • Replies in French, German, English or Italian
  • Nothing sent automatically: the draft waits for your approval

Summarising long email threads

Picking up a file after the holidays, or a colleague's while they're away, often means rereading forty messages. It's easy to miss the commitment made in message 23.

AI summarises the thread in a few lines: what was decided, what is still open, who is waiting for what and by when. The summary links back to the original messages so you can check.

  • Decisions made, open questions, deadlines
  • Handover summary for a colleague
  • Overview of exchanges with a customer before a meeting

Transcription and translation

Meetings, interviews, recorded training sessions: AI transcribes them, telling speakers apart, then turns them into minutes or a task list. The text can then be translated and reviewed.

For your videos, we also offer translation with the original voice and lip sync: see our AI video translation page.

  • Transcription of Teams or Zoom meetings and audio recordings
  • Minutes and task list from the transcript
  • Subtitles in several languages
  • Video dubbing with the original voice

What AI doesn't do with us, and your data

AI doesn't approve payments, doesn't send emails without a review, doesn't sign anything and doesn't change your books on your behalf. It doesn't make up a value it can't find: it flags it. When a simple rule is enough, we don't use AI at all.

Your data stays under your control. We work in your own accounts, with services whose terms exclude using your data to train models, and we choose hosting based on the Swiss Data Protection Act (nFADP) and your requirements. Access is documented and you can withdraw it at any time.

  • A person approves every decision
  • No model training on your data
  • Access limited to what is strictly needed, and documented
  • Hosting chosen according to the nFADP and your constraints

How we work

  1. 1

    Identify

We find the checks and comparisons that take time, and those where a mistake is costly.

  2. 2

    Test

We test AI on a sample of your real documents, to measure what it reads correctly and what it misses.

  3. 3

    Integrate

The check is placed inside your current tools, with an approval step by a person.

  4. 4

    Refine

We review the flagged discrepancies and fine-tune the instructions over the following weeks.

Frequently asked questions

Can AI check logistics documents such as a bill of lading or CMR?

Yes. It reads the documents, even scanned ones, extracts container numbers, weights, dates and ports, then compares them with your CRM or Airtable base. Discrepancies are flagged to you; a person decides.

Is our data used to train AI?

No. We use services whose terms exclude training on your data, and we work in your own accounts wherever possible.

Is AI compliant with the Swiss Data Protection Act?

Compliance depends on how the tool is configured and what data it processes. We choose services and hosting with the nFADP in mind, keep the data sent to a strict minimum and document access.

What if the AI gets it wrong?

It can, which is why it never decides alone. It flags what it isn't sure about, and a person approves before any action. We measure its error rate on your documents before going live.

Do we need new software to use AI?

No. We integrate AI into your current tools: Outlook, Gmail, Bexio, Airtable, your CRM or your shared folders.

What is the difference between automation and AI?

Automation follows fixed rules: if an invoice arrives, file it here. AI is for reading free text, comparing or summarising. We use automation whenever it is enough, and AI only where it adds something.
